CASE STUDY: Help U Sell Automates Sales Invoicing Process with Ei Dynamics

Help U Sell is a national discount real estate brokerage with franchise offices in all 50 states. Help U Sell helps consumers list and sell their homes for commissions as low as 1%. Help U Sell implemented Microsoft Dynamics GP in 2006 to replace their low end accounting system at the time.

BACKGROUND

Prior to implementing Ei Dynamics and Dynamics GP, Help U Sell utilized a combination of a low end accounting system, spreadsheets and a custom database system to track, bill and collect revenue from over 600 franchisees each month. Help U Sell purchased Dynamics GP with the anticipation that they would be able to completely automate their invoicing, using the functionality Dynamics GP offered right out of the box.

During the sales process one of the key selling points of Dynamics GP was the ability to electronically automate the generation and delivery of their sales invoices. Help U Sell sends over 600 invoices per month and to send that many invoices via standard mail was costly, time consuming and inefficient and Help U Sell wanted to automate this process electronically via email.

Midway through the implementation of Dynamics GP, Help U Sell determined that they wanted more control over the generation and delivery of invoices than what Dynamics GP offered. Consequently, Help U Sell had a decision to make, whether to settle for what Dynamics GP natively offered, develop a custom solution or find an alternative 3rd party solution that could handle the unique needs of Help U Sell and could be implemented in a timely manner and at a reasonable cost.

SOLUTION

The solution presented to them was to implement Ei Dynamics, a third party cross platform business alerting, report automation and business process management solution designed to work with Dynamics GP. Ei Dynamics not only would allow Help U Sell to automate their invoicing the way they wanted to but the solution could be leveraged across all of Dynamics GP, across their CRM system from SalesForce.com and across all of their internal databases that they developed and managed other data with.

While Help U Sell would initially need to invest in Ei Dynamics to solve their invoicing dilemma they would really be investing in a broader, long term solution that could be leveraged to solve many other problems and streamline other business practices. By using Ei Dynamics to its potential they could also realize a return on investment almost immediately.

RESULT

Help U Sell ultimately decided to purchase Ei Dynamics to facilitate the automation of their sales invoicing process.

The entire process to implement Ei Dynamics and automate their invoicing took about 3 days of consulting, most of which was time devoted to creating the custom SQL Reporting invoice report, testing it and making modifications based on feedback from various Help U Sell managers.

Ei Dynamics now generates and delivers all of their customer invoices via email and whether they add a hundred or even a thousand more customers the amount of extra effort to process the additional invoices will be minimal and will not require them to increase their staff.

According to Help U Sell, after implementing Ei Dynamics, they immediately saw a savings in their postage costs and the process was so easy that veteran staffers were amazed at how quickly and easy it was to process invoices and how much more time they had to focus on other necessary activities.

Since implementing Ei Dynamics, Help U Sell has found numerous other uses for the software.

  • Improved their receivables collection process by sending automatic weekly notifications to customers who have balances over a specified number of days.
  • Implemented numerous internal alerts to monitor the vendor, contract and customer setup screens and notify accountants when information is entered incorrectly or is missing.
  • Automated the distribution of several management reports.
  • Replaced GP Smart Lists with Ei Dynamics "Smart Emails" eliminating the need to login to GP to review smart lists and other online information and having greater piece of mind that they will know about an issue before it is too late.
